Background / General description:
The International Finance Corporation (IFC), a member of the World Bank Group, promotes sustainable private sector investment in developing countries as a way to reduce poverty and improve people’s lives. In addition to its investment work, IFC also executes a major donor-funded program of private sector advisory services in the Middle-East and North Africa (MENA) region.

The Lebanon country office in Beirut seeks an experienced, pro-active Team Assistant to help manage and grow IFC’s business. The Team Assistant will be an integral part of the office, responsible for the following:

Duties and Accountabilities:
•Assist in managing, organizing and overseeing the effective administrative functioning of the country office.

•Arrange meetings for staff and visiting missions, prepare schedules, etc.

•Maintain petty cash/bank payments journal, including safeguarding of petty cash

•Order and request proposals for consultants, contractual services, IT equipment, newspapers, books, office supplies etc

•Obtain necessary government clearances licenses, inspections, etc to abide by relevant laws and regulations.

•Liaise and develop effective practical working arrangements with IBRD/IMF colleagues, government departments, such as Customs, Traffic and Protocol for official matters and for assistance to staff on official matters.

•Facilitate the visit of missions/expatriate/consultant staff settling in Lebanon and related matters (security clearance, hotel, transportation,).

•Ensure that staff travel policies/procedures are complied with and supervise issuance of travel arrangements for office business.

•Assist in preparation and logistical planning for various events, e.g. conferences, workshops, negotiations, etc

•Send press releases and press advisory to media, as well as media monitoring

•Oversee mission clearances and other aspects of office security plan/procedures

•Solves non-routine problems (e.g., ad-hoc research, translations, power point presentationsetc.).

•Other tasks as assigned

Selection Criteria:
•High School or equivalent diploma or comparable experience

•3-4 years of working experience in multinational companies or private sector banks

•Excellent verbal and written communication skills

•Detailed oriented and pro-active problem solver with mature judgment

•Ability to work well in teams in a multicultural environment

•Fluency in English and Arabic. -- French is highly desired

•Proficiency in Microsoft Office tools (Word, Excel, PowerPoint) and other software applications

•Excellent knowledge of using the internet
